Summary
The IT Administrative Coordinator is the primary support person for the day-to-day administrative functions of the IT department. This position serves as an important representative of the IT department to university departments, employees, and vendors. Primary responsibilities include: (1) coordinating the asset lifecycle management database containing IT's inventory of hardware, software, and related purchase records, contracts, and licenses; (2) processing and tracking internal and external orders, payments, and billing; (3) supervising other members of the administrative support staff.
Responsibilities Include:
- Coordinate IT Assets & Inventories
- Coordinate the asset management database containing IT's inventory of hardware, software, and related purchase records, contracts, and licenses.
- Ensure that all asset-related documentation is correctly processed, classified, maintained, and disposed of in the asset management database.
- Generate reports against the database that increase accountability, compliance, life-cycle management, and loss detection.
- Support the equipment refresh programs for (1) staff and faculty workstations, (2) labs and computer-equipped classrooms, and (3) IT infrastructure equipment.
- Assist IT directors to designate replacement equipment.
- Work with venders to acquire replacement equipment.
- Coordinate with staff and faculty to schedule the replacement.
- Coordinate Purchase Orders & Billing Statements
- Process purchase orders for hardware assets and their corresponding warranties and service agreements.
- Process invoices, credits, and bills from vendors and Biola departments.
- Supervise IT administrative staff
- Ensure that the administrative staff members under your supervision serve in a professional, courteous, and timely manner.
- Maintain and improve the work processes under your direction.
- Ensure that policies, standards, and procedures are clearly and appropriately documented.
- General office duties
- Maintain a lifestyle in keeping with sound biblical principles and the University Standards of Conduct.
Qualifications Include:
General
Professional attitude and appearance. Effectively work with vendors, clients, and IT colleagues and leadership. Respond professionally under scrutiny, criticism, and pressure; work independently, able to take initiative and responsibility. Able to well represent the IT department to vendors and clients. Able to prioritize multiple, simultaneous tasks and projects and to contribute to multiple teams.
Educational
B.A. or B.S. degree preferred.
Skills
Experience with basic accounting practices. Strong analytical and problem solving skills; detail oriented. Strong skills using MS Excel. Proficient with the other MS Office Suite applications. Familiarity with IT concepts and practices preferred. Familiarity with contracts and license agreements, asset management practices, and project management practices all a plus.
